Off-Road Sourcing & Custom Project Records
Use this guide as your sourcing or custom manufacturing project develops. For the first conversation, a photo, product link, drawing or short description is enough. GBPH 4x4 can help collect the detailed manufacturer questions and coordinate quotations, samples and production follow-up.
A clear parts brief, comparable supplier responses and documented sample feedback make the next decision easier to review.
The formats below are illustrative templates. They are not completed client projects, live supplier offers or proof of factory relationships.
01 · Product & Fitment Brief
Give prospective suppliers the same requirements. This example uses an aftermarket aluminum skid plate for a Toyota Tacoma; other products need different fields.
| Brief field | Information to record |
|---|---|
| Product reference | Aftermarket skid plate, vehicle reference photographs and any drawing revision. Mark information still being confirmed. |
| Vehicle application | Make, model, generation, model year, regional version and LHD/RHD where relevant. |
| Configuration | Mounting bracket positions, bolt-hole locations and clearance measurements, attachment points and included hardware. |
| Material & finish | Required material or performance specification, surface finish and colour reference. |
| Order & packaging | Estimated quantity by variant, destination and protection requirements. |
| Open questions | Supplier evidence required, questions for sampling and the person responsible for review. |
Illustrative request only. No vehicle compatibility or approved part number is being claimed.
02 · Supplier Quotation Comparison
Keep each offer connected to the same brief. Record differences and missing answers before comparing the unit price.
| Comparison field | Required comparison basis | Supplier A | Supplier B |
|---|---|---|---|
| Application & version | Vehicle variant, side, drawing and vehicle measurement reference and drawing revision | Awaiting evidence | Awaiting evidence |
| Material, finish & hardware | Grade or specification, finish and included items | Not yet specified | Not yet specified |
| Unit price & quantity | Currency, units per variant and price-break basis | Await quotation | Await quotation |
| MOQ & variations | MOQ per part, colour or packaging version | Await quotation | Await quotation |
| Samples & tooling | Itemized sample, tooling and revision conditions | To be agreed | To be agreed |
| Packaging | Individual protection, carton quantity and dimensions | Not confirmed | Not confirmed |
| Payment & delivery terms | Quoted payment stages, Incoterm and named place | To be clarified | To be clarified |
| Lead time & milestones | What starts the quoted lead time and which updates are included | Supplier response needed | Supplier response needed |
How to use the status: Record the supplier’s answer and its source. Use “confirmed” only with a clear reference; retain “pending” where evidence or a client decision is still needed.
Supplier A and Supplier B are placeholders. No supplier has quoted or been evaluated in this example.
03 · Sample Review & Revision Log
Link every observation to the sample and revision actually reviewed. Separate a supplier’s proposed action from the client’s approval.
| Record | What to capture |
|---|---|
| Sample reference | Version, drawing revision, supplier-stated material and date received. |
| Review method | Dimensions measured, marked photographs, mating-part comparison or an agreed trial-fit review. |
| Observation & evidence | Describe the specific issue and link the measurement, photograph or reviewer’s notes. |
| Supplier response | Record the proposed change, feasibility, quoted additional cost and timing. |
| Client decision | Approval, rejection or further questions, with the next agreed action and reference version. |
A supplier photograph and an independent test report answer different questions. Neither establishes suitability for every application or market.
Order Responsibilities & Service Scope
GBPH 4x4 handles sourcing and drawing-based custom manufacturing projects. Buyers review specifications, quotations, samples and proposed changes. The seller, payment arrangements, shipping responsibilities and any independent inspection or testing are confirmed for the actual order or service.
Products requiring engineering, load, electrical, safety or destination-market assessment need an appropriate agreed reviewer. These templates organize information; they are not technical approvals.

Worked Example: Compare Two Manufacturing Approaches
Illustrative scenario only: a buyer has an authorized mounting-bracket drawing and wants to discuss cutting/bending versus machining. Both potential manufacturing approaches must address the same application and approved drawing revision. The comparison below contains no live supplier quotations or actual price claims.
| Decision item | Cut-and-bend option | Machined option |
|---|---|---|
| Feasibility | Review flat profile, bending radii and secondary operations | Review tool access, workholding and necessary setups |
| Prototype checks | Bend and final-hole geometry, coating build-up | Critical datums, threads, surface and edge conditions |
| Quote comparison | Material yield, process stages, fixtures and finish | Machining time, setup, stock material and finish |
| Release evidence | Approved drawing revision and measured first article | Approved drawing revision and measured first article |
Before selecting an approach, the buyer should clarify intended loading, real vehicle mounting geometry, required independent testing, prototype quantity and design/IP permissions. Link these records to the eventual sample sign-off rather than substituting supplier marketing statements for evidence.

Do not substitute a blank template for actual engineering validation, signed sample approval or supplier due diligence.
Start With a Parts Request
Extend these illustrative documents with a vehicle application matrix and a sample/packaging inspection record for each material change or new supplier.

05 · Order Handover & Issue Record
Connect the final approved product record to what is packed and collected. Add the fields below to the project file as needed.
| Record field | Information to retain |
|---|---|
| Released product | SKU, drawing/sample revision and approved deviations. |
| Packed order | Quantity, kit contents, carton marks, dimensions, weights and supporting photos. |
| Collection & documents | Ready date, booking owner, named handover place and agreed document set. |
| Follow-up | Affected item/batch, observed evidence, requested action and buyer decision. |
04 · Drawing-to-Manufacturer Project Record
For a custom bracket, rack component or fabricated part, connect the approved design to the manufacturer’s next action.
- Drawing package: file name, revision, material, finish, tolerances and permitted sharing.
- Manufacturer response: proposed process, feasibility questions, sample plan, tooling and quoted costs.
- Prototype record: sample version, measurements, marked photographs and requested revisions.
- Production approval: your approved drawing, sample, bill of materials and packaging version.
- Follow-up: agreed production milestones, manufacturer updates, inspection arrangements and open actions.
Illustrative record only. Project responsibilities, tooling ownership and any technical validation are agreed for the actual request.
Use Blank Records for Your Own Project
Turn the examples above into a record of your actual drawing revisions, sample decisions and order handover. Keep one project reference and identify which approval or follow-up remains open.
